PRACTICAL INFORMATION ABOUT THE SCIENTIFIC SESSIONS
ORAL PRESENTATIONS
Chairpersons and speakers
- Chairpersons and speakers should locate their session as early as possible, and be in their session room 10 minutes prior to the beginning of their session.
- All speakers are requested to keep strictly to their allotted time:

- The role of the chairpersons is to introduce the session, to make speakers respect their allotted times, to facilitate the discussion, and to close the session.
Preview room
- Speakers are requested to proceed to the pre-view room (Level 0) at their arrival at the congress centre and no later than 90 minutes before their session. If your presentation is in the first session of the day, please make sure your powerpoint is uploaded the evening before.
Preview room opening hours:
Sunday 4 September: 14:00 - 19:00
Monday 6 September: 07:00 - 19:00
Tuesday 7 September: 07:00 - 19:00
Thursday 8 September: 07:00 - 17:00
- Speakers will be assisted in the preview room by computer experts who will download presentations from PC-formatted file supports onto a single server before the session and sent through a network to the correct session room.
A Macintosh computer will be available in the preview room to convert Macintosh files to PC format.
- Speakers will not be able to connect their own laptop in the conference room.
- Presentations can be reviewed and updated in the preview room.
Technical instructions for presentations
- Only presentations for PCs with power point will be accepted:
PowerPoint 2003 patched with the last service pack
PowerPoint 2007 patched with the last service pack
PowerPoint 2010 patched with the last service pack
- If you have made your presentation using PowerPoint Mac, please note that this one will be projected from PC computers. We recommend you test your presentation in the preview room once transferred to PC format.
To avoid problems of compatibility between PCs and MACs, please use common fonts to both PCs and MACs (Arial, Courier, Courier New, Geneva, Georgia, Helvetica, Times, Times New Roman).
- For presentations created using Office Mac PowerPoint 2004, do not forget to add the .ppt extension to your file when saving it (i.e. myfile.ppt).
- If you have pictures, they must be inserted as a .jpg (ie. mypicture.jpg)
Your picture resolution must not exceed 1024 by 768 pixels (width times height).
- If you have video files attached to your power point presentation, they must be in the following format: .mpg, .mpeg, .wmv or .avi. The format .mov (quicktime) will not be accepted. If you have such files, please convert them into the .avi format.
Please remember, when saving your final presentation to CD or USB stick, to include your video files in addition to your power point presentation.
In the conference room:
- Your own laptop cannot be used in the conference room.
Your presentation will be sent directly into the plenary room via the computer network.
- A few minutes before your presentation, all speakers in that session will be listed on the computer screen installed at the lecturn. Click on your name to launch your slides. The PC will be configured and connected to the slide projector. Click on the mouse or push the keyboard arrows to move your slides.
- We remind you that your allocated speaking time will be strictly enforced to respect those speaking after you and to stick to the timeline of the overall scientific programme.
Confidentiality:
- No one will have access to other presenters slides, and our
computer system will erase all files on the last day of the event.
POSTERS
Posters will be on display during the entire congress and there will be 3 poster breakfast sessions focusing on specific topics.
Hanging and removal of Posters
Hanging: Sunday 4 September from 14:00
Dismantling: Wednesday 7 September by 17:00 at the latest
Posters not removed on Wednesday 7 September by 17:00 will be removed and destroyed.

- Posters are displayed in one area at Level 0.
- During the three poster sessions presenters should be by their poster(s) so that delegates can discuss it, ask questions, and get more information.
- You reference number(s) have been notified in the confirmation email.
Each poster owns a poster code, enabling it to be easily found in the poster area and in the abstract book.

- Poster dimensions: 120 cm high x 90 cm wide. Exceeding the maximum size incurs the risk of being eliminated from the programme.
- Poster presenters are requested to proceed to the Congress Secretariat first, located in the Registration area, where they will be given hanging materials.
- Please note that the WCE cannot be responsible for any damage to or loss of posters.
